Position Overview

This is a part-time (non-union) role that offers a clear pathway to a full-time career. Initially, you will focus on mastering our data entry, scheduling, and accounting support systems under the mentorship of our current Office Manager. This position is intended for someone seeking a stable, long-term role with a defined pathway to office management responsibilities in the future.

Core Responsibilities

Accounting Support

  • Payroll Assistance: Support the processing of payroll for 8–10 employees, including tracking hours and job-related entries.

  • Accounting Support: Assist with accounts payable (vendor invoices) and accounts receivable (customer invoicing and follow-up)

  • System Accuracy: Use QuickBooks (or similar) and CRM software to maintain precise financial and administrative records.

Administrative and Office Coordination

  • Scheduling: Assist in coordinating calendars, scheduling vehicle maintenance and other appointments to provide seamless support for our field staff.

  • Office Support: Prepare correspondence, and maintain highly organized digital and paper filing systems

  • Customer Relations: Liaise with customers and vendors in a professional manner

Qualifications & Skills

  • Experience: Minimum of 2 years in an administrative or coordinator role.

  • Technical Proficiency: Required experience with Microsoft Office Suite and a high level of comfort with accounting (QuickBooks Online experience an asset) and CRM software.

  • Adaptability: Must be comfortable and effective in an agile, fast-paced environment where priorities can shift quickly based on service demands.

  • Industry Knowledge: Experience in trades, construction, or service industries is a strong asset.
